Services we provide:

Pre-Event Tasks

• Site selection. Write RFP for event venue.
• Assistance with invitation design; tracking RSVP's and send out confirmations.
• Prepare name tags.
• Site determination and coordination.
  • Future site visits, meetings
• Design and coordinate event layout and décor.
• Production timeline and coordinating calendar.
• Detailed day of production schedule, multiple revisions.
• Budget creation and management.
• Committee meetings, planning meetings, and communications (phone, emails, etc).

Promotion

• Coordinate all print/promotional materials.
  • From design to printer to distribution (mailings etc...)
• Produce and coordinate all signage for event day.

Public Relations

• Create promotional & PR campaign for review by committee with adjustments for budget.
• Complete media kit.
  • Print and mailed press releases and pitch letters
  • Electronic press releases and pitch letters
    • Targeted media outlets
  • Place calls to trusted media contacts for editorial coverage.

All Day Event Management

• Prepare and manage load in and set up.
• Coordinate and manage vendors including catering, staff, entertainment, rentals, sound/audio visual, etc...
• Coordinate volunteers including registration, set up, decorating, load out, meals, etc...
• Review seating plan. Ensure all seating is correct.
• Presentation schedule and speeches. Coordinate anyone who is talking to your guests.
• Manage late arriving guests.
• Assist and coordinate with photographer.
• Deliver any tip envelopes to vendors.
• Prepare and manage event wrap up including return of all rentals and deposits.
